Multi-user mode helps you and your colleagues work in the same workspace. Depending on your role, you can add, delete, edit, or just view fields, notes, NDVI images, prescription maps, and weather charts.
👨🌾 Description of roles
Multi-user mode has 4 roles: owner, administrator, editor, and viewer.
The Owner:
Has access to all information in the workspace
Can edit, add, or delete any information in the workspace
Can assign roles and add and delete users that have access to the workspace
Can't be deleted from the workspace
The Administrator:
Has access to all information in the workspace
Can edit, add, or delete any information in the workspace
Can assign roles and add and delete users that have access to the workspace
The Editor:
Can edit, add, or delete information he/she has access to in the workspace
The Viewer:
Can view shared data
❗️ In the first version of multi-user mode, all participants will be automatically granted full access. In the next version, the owner and administrators will be able to select which information colleagues can edit and view.
The workspace can have only one owner, but the number of administrators, editors, and viewers is unlimited.
One user can have different roles in different workspaces. For example, you can be an owner in your workspace and a viewer in your neighbor's workspace.
To switch between the workspaces in the mobile app, open the Profile tab and tap 'Switch workplace'. Select the workspace you need.
In the web app, tap the workspace name in the top-left corner of the screen and select the one you want.
🔐 Access levels
The owner and administrators have full access to the information in the workspace and may grant full or partial access to editors and viewers.
❗️ In the first version of multi-user mode, all participants will be automatically granted full access. In the next version, the owner and administrators will be able to select which information colleagues can edit and view.
Full access means that the user has access to all field information in all seasons (fields, notes, weather, prescription maps, field operations, and NDVI images) but doesn't have access to the Sensors, Modems, and Field Data tabs. If new fields are added to the workspace, they'll be displayed to all users who have full access.
Partial access means that the user has access only to the fields selected by the owner or administrator. If new fields are added to the workspace, a user with partial access will only see them after access is granted.
⚙️ Setting up a workspace
Congratulations! You're the owner of a workspace! Setup begins with naming it and inviting colleagues to join it.
💡 Multi-user mode is available in both the mobile and web versions, but with some differences. The mobile app allows you to switch between workspaces and work with data in line with your role. Setup and management (editing and assigning roles and access levels) can only be done in the web app.
1️⃣ Naming the workspace
By default, the workspace is named 'My fields', but the owner needs to rename it before inviting users. For example, you can name it after your farm. If needed, the owner or administrator can change its name.
2️⃣ Inviting users and assigning roles
To invite a user to the workspace, click '+Invite user' under the 'Users and access rights' tab. Enter the user's e-mail address and name, then select his/her role. You can invite several users at once. Once sent, the invitation will be valid for 24 hours. If the user doesn't accept it within this timeframe, you can always resend the invitation.
Specify the user's access level: full or partial. Read more about access levels here.
3️⃣ Editing the workspace
The owner and administrator can edit workspace settings, i.e., change its name, invite and delete users, and manage access rights.
To edit the workspace, tap its name in the top-left corner of the screen and go to the 'Users and access rights' tab. This is where all workspace management is done. Tap the three dots next to the user's name and select 'Edit'.
To change the workspace's name, click its name in the top-left corner of the screen and select 'Change workspace name'.
4️⃣ Logging into the workspace
It's easy! We e-mailed you a message to log into the workspace at the address your colleague specified. Follow the link, log into the account or sign up and voilà! You're in the workspace now!
5️⃣ Deleting a user from the workspace
The owner and administrator(s) can delete other users from the workspace in the 'Users and access rights' tab. Click the three dots next to the user's name and select 'Delete'.
If you decide to leave the workspace, click its name in the top-left corner of the screen and select 'Leave workspace'. Any user can leave the workspace except for the owner.
